2024 SPRING FESTIVAL BOOKING TERMS AND CONDITIONS
PLEASE READ THE INFORMATION BELOW CAREFULLY
Pre-registration is necessary and full payment must be received at least 7 days prior to the start of the festival.
Booking Confirmation & ID: You will receive an email confirming the details of your booking and payment: Please keep this safe as you will be required to show either a paper or digital copy upon arrival. If you are not able to show your confirmation letter you will be required to show some form of photographic identification (eg passport or National ID card) in order to register onsite.
Bookings cannot be transferred to another person.

Deposit, Balance Payment & Refund Policies: NKT-IKBU has contracts with many suppliers, therefore the following conditions apply.
Refund Policy: Please read the following information carefully (all dates/times refer to UK time).
Festival Fee
• Bookings made on or before 9 May: A minimum 25% deposit is required at the time of booking with balance due 7 days prior to the start of the festival. Bookings without the minimum deposit will be cancelled automatically after 72 hours, after which it will be necessary to make a new booking.
• Bookings made on or after 10 May: require full payment at time of booking.
• Cancellations: 25% deposit is non-refundable in case of cancellations up to 48 Hours before the start of the festival (19:30 UK time 22 May), after this the Festival Fee is fully non-refundable.
Accommodation (Manjushri KMC)
The following conditions apply to all accommodation at Manjushri KMC except for camping in own tent, or own campervan (max 6m) options which are subject to the same conditions as Festival Fee above.
• Bookings made on or before 9 May: A minimum 25% deposit is required at the time of booking with balance due 7 days prior to the start of the festival.
• Bookings made on or after 10 May: require full payment at time of booking.
• Cancellations: 25% deposit is non-refundable in case of cancellations up to and including 15 May. From 16 May the accommodation fee is non-refundable unless we can resell it.
Meals
• Bookings made on or before 9 May: A minimum 25% deposit is required at the time of booking with balance due 7 days prior to the start of the festival.
• Bookings made on or after 10 May: require full payment at time of booking.
• Cancellations: 25% deposit is non-refundable in case of cancellations up to 7 days before the start of the festival, after this the meals are fully non-refundable.
Airport Shuttles
• Payment: Full payment required at time of booking – this will automatically be calculated when you make your booking.
• Cancellations: 25% deposit is non-refundable in case of cancellations up to and including 24 April. From 25 April shuttles are non-refundable unless we are able to resell your seat. If there is insufficient demand for a bus at a particular time, we will notify you in writing, in this case the fee paid will either be credited against your remaining Festival balance, or if you have a zero balance, we will refund you in full.
Any non-refunded fees arising from cancellations are donated to the NKT-IKBU International Temples Project.
Exceptions: May be made in cases of sickness or bereavement; you should apply by e-mail to the NKT Treasurer treasurer@kadampa.org within 2 weeks of the end of each Festival. This applies to Festival Fee and onsite accommodation only and does not apply to meals or transport.
Early Arrivals and Late Stays: On-site accommodation is available to book for 2 nights before and 1 night after the festival. Pre-Festival availability for single, and twin or double rooms are limited however. If your chosen pre or post Festival accommodation is not available, we will offer an alternative. Priority for indoor pre/post-Festival accommodation is given to those who are staying in the same accommodation during the festival.
Ordination Ceremony : Please indicate on the booking form if you will be attending the Ordination Ceremony. Please note: only those already ordained, or receiving ordination for the first time can attend the actual ceremony itself.
Children and Young Adults
Children (15 and under) are welcome to attend the Festival however, some special conditions apply. Please see Children & Young Adults page for more information. Please note that 2 responsible adult carers must be nominated for all children’s bookings, and bookings can only be confirmed on receipt of the required photographs of the 2 adult carers. Due to the public nature of the Festival, children’s safety and welfare is the responsibility of their nominated responsible adult carers at all times. NKT-IKBU does not assume responsibility for children attending the Festival.
Young Adults (16 & 17 year olds) 16 & 17 year olds must be accompanied by an adult 18 or over. The name of the accompanying adult is required at booking. Young Adults cannot be accommodated in shared room or dormitory accommodation. They may stay in twin accommodation if their nominated responsible adult is also sharing the room. 16 and 17 year olds are charged as adults.
Special Festival rates apply for children:
Children's Festival Fee: 0-7 FREE, 8-15 years – 50% discount, 16+ years – full adult price.
Children's Accommodation: We regret we are unable to accommodate children under 16 in shared rooms or dormitory accommodation with adults who are not their parent/legal guardian, nominated carer or an adult family member.
Children aged 3 and under sharing their parent’s bed are free of charge.
Children aged 4 and over who are occupying a bed/space in a twin or double room will be charged at full adult rates above.
Children aged under 16 who are camping (in parents own tent) are free of charge. It is not permitted for those under 16 to sleep in their own tent but must share with an adult family member/nominated carer.
In general children aged 3 or under who are camping in a ready-erected tent are free of charge and children aged 4 and over will be counted towards the maximum occupancy of the tent.
Children’s Meals: Children’s portions are available for those aged 12 and under and will be charged at 50% of the full adult price. Those 13 and over are charged full price. Breakfast is included in the indoor accommodation rates for all children occupying a bed. Breakfast is charged at £2/day for all children staying free in their parents tent.
The Courses You Will Attend: The 2024 Spring Festival begins on the evening of 24 May and will end with lunch on the final day, Wednesday 29 May – see Programme page on website for more info.
Translation Facilities: All Festival Teachings, Meditations and Retreat Sessions are conducted in English. We can provide simultaneous translation into French, German, Spanish, Portuguese, and Cantonese. Other languages may be provided subject to demand and availability of a translator. Whilst we cannot guarantee, we will try our best to facilitate other languages. Please book in advance as space is limited.
Special Needs: Wheelchair accessible toilet and shower facilities are available. Access to the Temple and main building is ramped but we regret some areas of the Priory are inaccessible to wheelchair users.
Hard of hearing assistance is offered in the Temple, please select this option when booking.
Please notify us in advance by e-mail or letter if you have special needs. In particular, if you are a wheelchair user, or require additional seating space in the Temple, please indicate this on your booking form in the special requests section. This will help us to allocate the correct space in the Temple.

Parking:
All standard car parking is in the field at Manjushri KMC main entrance. You will be required to show your festival parking permit upon arrival and you must visibly display your parking permit in your car at all times.
No campervans, or vans, and no overnight camping are permitted in the field. Campervan or van parking is limited and must be booked separately. See parking page for more info.
If you have a disability and need a parking space closer to the building please select the disabled parking option. Note disabled parking spaces are very limited and will be offered on a first come basis. There is no charge for disabled parking for registered blue badge holders (or other country equivalent). If you would like a disabled parking space and are not a blue badge holder, you should book and pay for standard parking, and make a request to welfare@kadampafestivals.org. Again this will be subject to availability, and priority will be given to those who have a disabled parking permit. Everyone who books parking will be issued a Festival parking permit which must be shown on entrance to the car park and must be clearly displayed at all times.
Audio Recordings: Audio recordings are of the teaching sessions only and do not include the guided meditation or retreat sessions and can be purchased at the time of booking or added to your cart later up to one month after the Festival. The final date for purchasing audio recordings is 30 June 2024. Recordings may be purchased for the whole of the Festival. You must have booked to attend the necessary sessions. Recordings are for the sole use of the registered recipient and should not be shared.
