Attend in-person
Before You Book
Create an account: If you do not already have an account, you can create one at any time before booking opens. You can do this here.
Make sure your account details are up to date: If you already have an account, please check that all your contact details (including which NKT Centre you attend) are correct - doing so can avoid unnecessary complications with your booking. You can do this here.
Read the Terms and Conditions: Before booking, please ensure you have read the booking Terms and Conditions, in particular the sections on deposits, payment deadlines, and refund policies.
When Bookings Go Live
Because accommodation at IKRC Grand Canyon is limited, and to give everyone who wishes to book accommodation the same chance, there will be a 10-minute window in which to complete and submit the form before bookings are processed. After 10 minutes, bookings will be processed in a random order to give the same opportunity to everyone to book the options they wish.
The booking button will go live on the website approximately one hour before booking opens. Click on the booking button above and log into your account. A countdown clock will then appear.
At booking opening time the clock will go to zero and automatically load your personal details (please check they are correct and update where necessary).
You will then have 10 minutes to complete and submit the booking form. All bookings submitted within the first 10 minutes will be placed in a queue.
10 minutes after booking opening time the queue will be processed in a random order.
Bookings received after the initial 10 minutes queue time, will be processed in the order in which they are submitted.
After submitting booking and during booking processing, it is important that you do not close your browser or move away from the page until you receive a message confirming that your booking has been accepted. In the event that any of your options has sold out, you will be directed back to your booking form to make another selection and resubmit.

It is possible to save the names of several people in one account. If you have multiple names in your account, upon login you will be prompted to select the name of the person you wish to make a booking for. If you wish to make multiple bookings at booking opening time, you can log into your account on separate browser tabs, otherwise you can add other people to your cart after you have made an initial booking using the 'add another booking' button.
STEP 3: Complete the Booking Form
Please ensure you select all the options you require when making your booking. Full information is available on this website.
- Festival Attendance: book for the whole event or specific days.
- Accommodation: select onsite or offsite accommodation if required. See below for details information on how to book accommodation.
- Onsite Accommodation: Select your preferred accommodation option. If this is sold out, use the back button to return to the list and choose another option. If you are sharing a room that someone else has already booked and paid for, select the room-mate option.
- Offsite Accommodation: Select your preferred hotel, and then your accommodation type. If this is sold out, use the back button to return to the list and choose another option. If you are sharing a room that someone else has already booked and paid for, select the room-mate option.
- Meals: Lunch and Supper can be booked separately. Breakfast is included in the accommodation fee for onsite accommodation and the Trailborn Hotel.
- Translation/Assisted Listening: select your option
- Special Needs: notify us of any special needs in the comments box.
- Review your booking: check the details carefully before proceeding.
- Accept the Terms & Conditions and Privacy Policy
- Submit booking
- Booking Cart: If you wish to Add Another Booking you can do so here, or Proceed to Payment.
Minimum non-refundable deposit: will be calculated automatically (see Terms and Conditions for deposit and refund details). Note: bookings without a deposit are automatically cancelled after 72 hours. A booking is not valid without receipt of the minimum deposit.
How to Book Accommodation
Onsite singles, doubles, twins, quads and shared rooms, and all offsite accommodation options: One booking per person. Only one person should book the room. Room-mate(s) should also make a Festival booking but select the accommodation option 'sharing a room'. Both the person booking the room, and the room-mate(s), will be required to indicate on the booking form who they will be sharing with. Please note that, due to the limited availability and to enable as many people as possible to access affordable onsite accommodation, bookings for shared rooms will only be confirmed if booked for the full number of people i.e. Quads - 4 people; 5 Share - 5 people; 6 Share - 6 people, and all room-mate names have beed provided. Room mates must also have a valid festival booking.
Onsite dormitories: One booking per person.
Camping: One booking per person. If you are sharing a tent, only one person should book the tent space, everyone else selects ‘sharing a tent’.

Booking Status
Incomplete: there is still some action you need to take e.g. minimum deposit has not been paid, room mate has not been named.
In Progress: all necessary information has been submitted. The Festival Registration team is confirming that the information is correct and that your booking options are available. This stage may take some time especially when booking initially opens due to the number of bookings received. You will receive an email with a link to your booking cart once minimum payment has been successfully processed. Please keep this information in a secure place so that you can access your booking cart later.
Confirmed: closer to the Festival, you will receive a confirmation letter from the Festival Registration team. Please bring this letter with you to register upon arrival.
Complete: A booking status will only change to complete when full payment has been received and all required information received with no pending changes.

A ‘payment confirmed’ message will be displayed when the transaction has been successfully completed. You will receive an email with a link to your booking cart.
Booking Status

In Progress: all necessary information has been submitted and the Festival registration team is checking your booking. This stage may take some time especially during periods where large numbers of bookings are being received.
Confirmed: all necessary information has been provided and minimum payment has been received. A confirmation email will be sent; you will also be able to see this status update in your booking cart.
Complete: Your booking status will only change to complete when full payment has been received. To avoid any delay in accessing the links, full payment must be received 7 days before the event.
